This Policy explains how 大池イノベーション株式会社 (address: 〒810-0022 福岡県福岡市中央区薬院４丁目１８ー２６ー４０５; contact: info@oike.io; the “Operator”, “we”) handles personal information in connection with https://websitechat.ai, under Japan’s Act on the Protection of Personal Information (Act No. 57 of 2003, “APPI”) and related laws.

2. Scope

This Policy applies to our marketing site, console, embeddable chat widget, and related support.

If you install our widget on your own website, you are responsible for how visitor information is collected on that site. We process that information on your instructions as your processor / entrusted party.

3. Information we collect

We collect the following as needed to provide the service:

• Account data: name, email address, and profile identifiers provided when you sign in with Google
• Service data: plan, site settings, page content ingested as a knowledge base, and usage (such as message counts)
• Conversation data: messages sent through the widget, conversation identifiers, timestamps, and lead details arising from those chats
• Technical data: IP address, browser type, device information, referrer, and language preference
• Contact form data: name, email, company, and message

4. Purposes of use

We use this information only for:

• Creating and authenticating accounts, and providing, maintaining, and improving the service
• Generating chat replies, building knowledge bases, and showing conversation history
• Understanding usage, preventing abuse, and handling incidents
• Managing plans, notices, and support
• Complying with law and resolving disputes

5. Entrustment and third parties

We do not provide personal information to third parties without consent, except as required by law. We may entrust processing to, or transfer data to, the following:

• Google LLC (United States): Google OAuth sign-in; Google Analytics (IP anonymization; we respect Do Not Track); generative AI (Gemini and similar) to produce replies. All or part of a conversation may be sent for that processing.
• Cloud providers for hosting and email delivery

6. Transfers outside Japan

Google and some cloud providers may handle information outside Japan, mainly in the United States. Those countries’ privacy regimes may differ from Japan’s. We take steps consistent with APPI Article 28 regarding such transfers.

7. Cookies

We use cookies and similar technologies to keep you signed in, remember language, protect the service, and (where permitted) measure traffic. You can refuse cookies in your browser; some features may then be unavailable.

8. Retention

We keep information for as long as needed for the purposes above, or as required by law. After an account is deleted, we delete or anonymize remaining personal data within a reasonable period, unless law requires us to keep it.

9. Security

We implement reasonable measures against leakage, loss, and damage, including access control, encryption in transit, and supervision of processors.

10. Your rights

You may request disclosure, correction, addition, deletion, or suspension of use or third-party provision of retained personal data under the APPI. Email info@oike.io. We will verify your identity and respond as required by law. We do not charge a fee as a rule.

11. Changes

We may update this Policy when the law or the service changes. Material changes will be posted on this site or otherwise notified. Continued use after a change means you accept the updated Policy.
